Room Booking Guidelines

To ensure fairness and optimize limited room resources, please follow these guidelines:

  • Bookings can only be made by the person attending the meeting for two or more people. Please remember only one booking is allowed for a group working together. (No consecutive time slots in a room.)

  • Bookings will be cancelled if the room is not occupied within 15 minutes of the booked start time. Rooms that are not booked or are forfeited due to late arrivals are available on a first-come-first-served basis until the time of the next scheduled booking.

Thank you in advance for following these guidelines and doing your part to keep the rooms tidier than you found them. Those found violating these regulations will have their booking privileges revoked.

Maintenance Notice

Please be advised that the UBC Sauder Meeting Room Booking System will be undergoing maintenance on every 4th Wednesday of the month from 8:30am – 9:30am PST. During this window the application will be briefly unavailable. We appreciate your patience and apologize for the inconvenience.

Undergraduate Rooms

Undergraduate bookable rooms are available to Sauder undergraduate students and can be booked up to two weeks in advance for a maximum two-hour duration.

Rooms may not be booked for conducting or receiving private, paid tutoring services.

Rooms adjacent to lecture theatres may be needed for curricular activities. In such cases, reservations for the following rooms may be canceled without prior notice: HA 092, HA 093, HA 094, HA 095, HA 096, HA 491A, HA 491B, HA 491C, HA 492A, HA 492B, HA 492C

Graduate Breakout Rooms

Graduate Breakout Rooms are for Sauder graduate students: FT MBA, PMBA, IMBA, MM, MMDD and MBAN. Rooms can be booked up to four weeks in advance for a maximum four-hour duration each day.

Canaccord Learning Commons

UBC Sauder undergraduate and graduate students may book rooms within the Library and Learning Commons during open hours. Rooms can be booked up to one week in advance for a maximum two-hour duration, for groups of two or more people. Groups may only make one booking per day.

Rooms may be booked for academic purposes only, including class project group meetings, group study space, group presentation practicing, etc. Rooms should not be used for non-academic purposes, including individual study, TA office hours, CUS and club administration, etc.
